Managing Your Subscription in Evalubox

Evalubox makes it easy for you to manage your subscription through our self-serve billing portal, powered by Chargebee. Whether you want to upgrade, downgrade, pause, or cancel your subscription, you can do so directly within the platform without the need to contact customer service. This guide will walk you through the key features of subscription management and how you can take control of your billing and plan.


Billing Plans

Evalubox offers the following plans to meet the needs of individual Speech-Language Pathologists (SLPs) and teams:

  1. Pay As You Go (PAYG): Buy credits for tools like forms and language sampling. Ideal for users who want to pay only for what they use.
  2. SLP Pro - Membership: Subscription plan for unlimited access to forms, language sampling, evaluations, and templates for individual SLPs. Available in monthly and annual billing options.
  3. Teams: Designed for organizations with 10 or more professionals. Includes all the features of SLP Pro, plus team management tools and administrative oversight.

Please note:

  • Pay As You Go is not a subscription plan and is based on purchasing credits as needed.
  • The Team Plan is an enterprise solution handled through our sales team. If you’re interested in the Team Plan, please reach out to our sales department for assistance.

Subscription Status

When managing your subscription, you may see the following statuses in your account:

  • Future: Your subscription is scheduled to start at a later date.
  • In Trial: Your subscription is currently active but in trial mode, meaning you are not yet billed.
  • Active: Your subscription is active and being billed based on the plan and any applicable addons.
  • Non-Renewing: Your subscription is scheduled to end and will not renew after the current billing period.
  • Paused: Your subscription is temporarily stopped but can be resumed at any time.
  • Cancelled: Your subscription has been fully terminated and will not renew.

Self-Serve Subscription Management Features

You can manage every aspect of your Evalubox subscription through the self-serve portal. Here are some key options available to you:

1. Upgrade, Downgrade, or Change Plans
  • Change Your Plan: At any time, you can switch between Pay As You Go, SLP Pro, or Team plans. You can only manage the SLP Pro Membership through a subscription within the Evalubox platform. Users have two options for the SLP Pro Membership: a monthly or annual plan.
    • SLP Pro Membership: You can switch between the monthly and annual billing options at any time. Any change will apply immediately, and the difference in cost will be prorated for your next billing cycle.
  • Billing Frequency: You can also change your billing frequency from monthly to annually (or vice versa) at any time. If you switch to annual billing, you’ll save 30% compared to the month-to-month price.
2. Pausing Your Subscription
  • Pause Options: If you need to take a break from Evalubox, you can pause your subscription. You can choose to pause it for a set period (up to 90 days) or indefinitely until you decide to resume.
    • Pausing will stop all new billing, but you’ll retain access to your account data.
    • You can resume the subscription at any time through the self-serve portal.
3. Cancelling Your Subscription
  • Cancel Your Subscription: You can cancel your subscription at any time from the self-serve portal. When you cancel, your subscription will not renew, but you’ll continue to have access to all paid features until the end of the current billing period.
  • Reactivating a Cancelled Subscription: If you’ve canceled your subscription but later decide to return, you can easily reactivate it through the portal without needing to start from scratch.
4. Purchase Orders & Invoices
  • Purchase Orders: You can add a Purchase Order (PO) during checkout if your organization requires it for payment. This is particularly useful for school districts and larger teams.
  • Download Invoices: All previous invoices are available for download through the billing portal, allowing you to keep track of your payment history.

Subscription Renewal

Subscriptions renew automatically at the end of each billing cycle based on the frequency you’ve selected:

  • Monthly Plans: Renew on a month-to-month basis.
  • Annual Plans: Renew annually, with a 30% discount applied compared to monthly pricing.

If you want to switch your billing frequency, you can do so at any time in your account settings. The new billing frequency will take effect at the end of your current cycle.


How to Access the Self-Serve Portal

To manage your subscription, credits, or billing details, follow these steps:

  1. Log into Evalubox and navigate to your Settings.
  2. Click on the Billing tab to access the self-serve portal powered by Chargebee.
  3. From here, you can:
    • View your current plan and subscription status.
    • Upgrade, downgrade, pause, or cancel your subscription.
    • Purchase credits (if you are on Pay As You Go).
    • Download invoices and manage payment methods.

Frequently Asked Questions

Can I switch between monthly and annual billing?

Yes, you can switch between monthly and annual billing anytime in your account settings. Changes will apply at the end of the current billing period, and your new plan will be prorated accordingly.

What happens if I pause my subscription?

When you pause your subscription, you stop being billed, but your account and data remain intact. You can choose how long to pause your subscription (up to 90 days) or keep it paused indefinitely. You can resume at any time.

How do I purchase credits?

If you're on the Pay As You Go plan, you can buy credits from the billing page in your account settings. Credits are used to access premium tools like forms and language sampling and cost $5 per credit. You can purchase one or multiple credits at once.

Is there a free trial?

Evalubox offers free access to certain tools for new users, allowing you to try out some features before committing to a subscription. Additionally, you can schedule a demo to see how the platform works.

What if I cancel my subscription?

If you cancel your subscription, it will remain active until the end of your current billing cycle. After that, your subscription will not renew, but you can still access your account and data.
